Volunteer, Community Engagement and Local Administration – 1 Position

Duration:       26 weeks

Wage:             $524.00 per week

THIS POSITION WILL BE BASED IN TWILLINGATE

We will need one (1) candidate who will identify the volunteer requirements for the full event. The successful candidate will be responsible for coordinating volunteer recruitment, training and scheduling, development of the volunteer database, procurement and set up of the volunteer centre and organizing the volunteer post event thank you party. This position will require communication with all staff to determine their realistic volunteer requirements. Diplomacy and patience will be required.

Under the direct supervision of MusicNL staff, the Volunteer, Community Engagement and Local Administration Coordinator is responsible for the smooth operation of all aspects of the event requiring volunteer involvement.

Tasks for the Volunteer portion of this position:

  • Develop a plan for volunteer recruitment and screening process including online applications (we will train under the Marcato system)
  • Develop and maintain a volunteer database
  • Develop volunteer schedule for each department, venue and event
  • Respond to public inquiries through telephone, mail, e-mail and social media
  • Determine food and beverage needs for all volunteers, working within budget and with designated partners
  • Setting priorities and able to work independently and as part of a team
  • Attending event committee meetings, preparing and distributing minutes
  • Working in cooperation with other event office staff and event committee members
  • Fully responsible  for on-site volunteer training and management of schedule at all times

Tasks for the Community Engagement portion of this position:

Working together with and reporting to the Executive Director and the Program and Communications Director, the Community Engagement Coordinator and Local Administration will be responsible for:

  • Planning, organization and execution of 6 events and performance in various venues through NWI to bring awareness of MusicNL Week 2018 including opportunities for young musicians
  • Conducting appropriate follow-up with participants and any others involved
  • Working with schools in the New World Island area to bring awareness of MusicNL’s Youth program to students
  • Providing reports of all engagement activities to the MusicNL staff & Board of Directors
  • Coordinate and execute the Newfound Talent Contest including acquisition of sponsorship (St. John’s office will assist with this event)
  • Investigate and communicate any opportunities for advancement and learning for our members
  • Develop and execute activities for community awareness about the 2018 MusicNL Week

Tasks for the Administration portion of this position:

  • Answering general inquiries via telephone, email or office visitors
  • Set up of Board and Committee meetings
  • Keeping meeting schedules and minutes
  • Controlling MusicNL’s banners & signage in Twillingate
  • General office operations
  • Performing any other duties as required by the Board or Executive

Qualifications

  • Knowledgeable in working with large groups of volunteers and understand the dynamics of working with volunteers
  • Strong word processing, spreadsheet & database knowledge
  • Strong organizational skills & experience with other cultural or music events an asset
  • Professional and efficient phone & e-mail management skills.
  • Project/event management experience an asset
  • Public speaking experience would be an asset
  • Able to work with and meet the needs of the performers and the show producer when required

Marketing, Communication and Sponsorship – 1 Position

THIS POSITION WILL BE BASED IN TWILLINGATE

We are looking for a candidate with marketing/social media/writing and sponsorship experience who will work closely with the Executive Director, Programs & Communications Director and the Event Manager.

Under the direct supervision of the Event Manager, this Coordinator is responsible for performing tasks related to the event as stated below.

General Tasks:

  • Experience in a marketing/sponsorship acquisition role is essential
  • Proficiency in all social media applications required
  • Responsible for the successful implementation of all elements of contracts including sponsor/partnership ticketing, signage, merchandise etc.
  • Assist with the development and delivery of all event posters & brochures
  • Ensure sponsor/partners receive all negotiated benefits as per signed contracts
  • Communicate with sponsor/partners on a regular basis
  • Be committed to managing corporate relationships on behalf of MusicNL
  • Be highly organized and able to multitask
  • Have strong interpersonal communication skills
  • Ability to work evenings, weekends and have a flexible schedule.
  • Proficient in MS office products including power point and Excel.

Events, Showcases and Stages Logistics Coordinator


Duration:     26 weeks

THIS POSITION IS BASED IN ST. JOHN’S

The Events, Showcases and Stages Coordinator will report directly to the Executive Director and the Programs, Marketing & Communications Director of MusicNL. Under the direct supervision of the Executive Director and the Programs Marketing & Communications Director of MusicNL this Coordinator is responsible for overseeing and coordinating all aspects of the Event as well as assisting with the programming of showcases and stages.

Tasks for the Showcases and Stages portion of this position:

  • Working with the Programs, Marketing & Communications Director and the Export Programming and Conference Coordinator, this Coordinator will
  • Assess all applicants eligibility for showcases and stages
  • Assist in the selection process, and coordinate performances for all showcases and stages. This may include development of registration forms and collection of personal data.
  • Working with the Programs, Marketing & Communications Director to ensure all stage requirements are in order and are delivered and set up at each individual stage ie backline, food, drinks etc.
  • Ensure a well briefed volunteer stage manager is in place and on time for each showcase and stage.

Qualifications

  • Extremely strong and varied experience in Event Management
  • Be knowledgeable of the Marcato voting system or willing to undergo training
  • Strong computer skills
  • Budget management skills
  • Experience with other cultural/music events an asset
  • Bilingualism an asset but not essential

Membership Engagement, Provincial Outreach and Office Administration

Duration:       26 weeks

The Membership Engagement, Provincial Outreach and Office Administration Coordinator will report directly to the Executive Director of MusicNL. Under the direct supervision of the Executive Director of MusicNL this Coordinator is responsible for all membership activity as it relates to the updating of memberships, ensuring all member information is correct and  the development & disbursement of the weekly MusicNL newsletter.

THIS POSITION IS BASED IN ST. JOHN’S

Tasks for the Membership, Provincial Outreach and Office Administration position:

  • Set priorities and able to work independently and part of a team
  • Maintenance of new member and member renewal database
  • Accept and process all member payments
  • Actively recruit new members
  • Insure members understand their benefits and the 3 grant application processes
  • Answer general inquiries via telephone or e-mail
  • Keep Board room schedule
  • Set up Board & Committee meetings
  • Book all weekly open mic hosts
  • Compile & disburse the weekly newsletter, e-blasts, all social media & website maintenance
  • General office operations
  • Assist with the setup of open mics in communities across the Province. At least 6 per year
  • Assist with the setup of info sessions in communities here and across the province. At least 4 per year
  • Coordinate and control MusicNL’s banners & signage
  • Arrange all MusicNL travel & accommodations
  • Attend event committee meetings to take minutes, compile and disburse in a timely fashion
