VOLUNTEER, YOUTH ENGAGEMENT AND ADMINISTRATION – 1 POSITION

Duration:       52 weeks

Wage:           $524.00 per week

Employer:      Music Industry Association of Newfoundland and Labrador (Music NL)

We will need one (1) candidate who will identify the volunteer requirements for the full event. The successful candidate will be responsible for coordinating volunteer recruitment, training and scheduling, development of the volunteer database, procurement and set up of the volunteer centre and organizing the volunteer post event thank you party. This position will require communication with all staff to determine their realistic volunteer requirements. Diplomacy and patience will be required.

Under the direct supervision of the Event Coordinator the Volunteer, Youth Engagement and Administration Coordinator is responsible for the smooth operation of all aspects of the event requiring volunteer involvement.

Tasks for the Volunteer portion of this position:

  • Develop a plan for volunteer recruitment and screening process including online applications
  • Develop and maintain a volunteer database
  • Develop volunteer schedule for each department, venue and event
  • Respond to public inquiries through telephone, mail, e-mail and social media
  • Determine food and beverage needs for all volunteers, working within budget and with designated partners
  • Setting priorities and able to work independently and as part of a team
  • Attending event committee meetings, preparing and distributing minutes
  • Working in cooperation with other event office staff and event committee members
  • Fully responsible  for on-site volunteer training and management of schedule at all times

Tasks for the Youth Engagement portion of this position:

Working together with and reporting to the Executive Director and the Program and Communications Director, the Youth Engagement Coordinator/Executive and Communications Assistant will be responsible for:

  • Planning, organization and execution of 6 events and performance opportunities for young musicians
  • Conducting appropriate follow-up with participants and any other involved
  • Working with schools in the province to bring awareness of Music NL’s Youth program to students
  • Providing reports of youth engagement activities to the Board of Directors
  • Developing 6 music-related workshops and/or information sessions pertaining to youth involvement in the music industry
  • Coordinate and execute two (2) Newfound Talent Contests including acquisition of sponsorship
  • Investigating and communicating any opportunities for advancement and learning for our youth members
  • Develop and execute the youth component of 2017 Music NL Week

Tasks for the Administration portion of this position:

  • Maintenance of new member and member renewal database
  • Answering general inquiries via telephone or office visitors
  • Set up of Board and Committee meetings
  • Keeping Board Room schedule
  • Booking all weekly open mic hosts
  • Controlling Music NL’s banners & signage across the Province
  • General office operations
  • Assisting with communications including composition of weekly and daily MusicNL newsletters/e-blasts, social media and website content maintenance
  • Performing any other duties as required by the Board or Executive

Qualifications

  • Knowledgeable in working with large groups of volunteers and understand the dynamics of working with volunteers
  • Strong word processing, spreadsheet & database knowledge
  • Strong organizational skills
  • Professional and efficient phone & e-mail management skills.
  • Project management experience an asset
  • Public speaking experience would be an asset
  • Able to work with and meet the needs of the performers and the show producer
  • Experience with other cultural/music events an asset

MARKETING, COMMUNICATIONs AND SPONSORSHIP – 1 POSITION

Duration:       24 weeks

Wage:           $524.00 per week

We are looking for a candidate with marketing/social media/writing and sponsorship experience who will work closely with the Executive Director, Programs & Communications Director and the Event Manager.

Under the direct supervision of the Event Manager, this Coordinator is responsible for performing tasks related to the event as stated below.

General Tasks:

  • Experience in a marketing/sponsorship acquisition role is essential
  • Proficiency in all social media applications required
  • Responsible for the successful implementation of all elements of contracts including sponsor/partnership ticketing, signage, merchandise etc.
  • Assist with the development and delivery of all event posters & brochures
  • Ensure sponsor/partners receive all negotiated benefits as per signed contracts
  • Communicate with sponsor/partners on a regular basis
  • Be committed to managing the corporate relationship on behalf of Music NL
  • Be highly organized and able to multitask
  • Have strong interpersonal communication skills
  • Ability to work evenings, weekends and have a flexible schedule.
  • Proficient in MS office products including power point and Excel.

EVENTS, SHOWCASES AND STAGES COORDINATOR

Duration:       24 weeks

Wage:           $524.00 per week

Employer:      Music Industry Association of Newfoundland and Labrador (Music NL)

The Events, Showcases and Stages Coordinator will report directly to the Executive Director of Music NL. Under the direct supervision of the Executive Director and the Programs and Communications Director of Music NL this Coordinator is responsible for overseeing and coordinating all aspects of the Event as well as programming showcases and stages.

Tasks for the Showcases and Stages portion of this position:

  • Working with the Programs and Communications Director and the Export Programming and Conference Coordinator, this Coordinator will :
  • Assess applicant’s eligibility for showcases and stages
  • Assist in the selection process, and coordinate performances for all showcases and stages. This may include development of registration forms and collection of personal data.
  • Working with the Programs and Communications Director to ensure all stage requirements are in order and are delivered and set up at each individual stage ie backline, food, drinks etc.
  • Ensure a well briefed stage manager is in place and on time for each showcase and stage.

Qualifications

  • Extremely strong and varied experience in Event Management
  • Be knowledgeable of the Marcato voting system
  • Strong computer skills
  • Budget management skills
  • Experience with other cultural/music events an asset
  • Bilingualism an asset but not essential

EXPORT BUYERS PROGRAM & CONFERENCE COORDINATOR

Duration:       52 weeks

Wage:           $524.00 per week

Employer:      Music Industry Association of Newfoundland and Labrador Inc. (Music NL)

The Export Buyers Program and Conference Coordinator will work closely with the Event Coordinator and the Programs and Communication Director of Music NL.

General Tasks:

Export Buyers Program & Conference Coordinatorwill assist or lead in the following areas:

  • Planning, management and the implementation of the conference and business development sessions (working with the conference committee, confirming targeted speakers/ panelists, preparing conference information, schedules etc.)
  • Coordination and development of conference schedule and  Guide
  •  Coordination and management of delegate bio information/ photos for conference speakers and international export buyers program delegates (for all marketing purposes) and coordination of travel & accommodations for all export buyers and conference presenters
  • Management and execution of Music NL’s Mentorship Program and Export Readiness Training Workshops happening prior to Music NL Week
  • Liaise with Programs and Communications to execute a comprehensive Conference communication plan to the membership
  •  Coordination and preparation of a conference marketing package (s) to be distributed and communicated to Music NL members (online, announcements, releases etc.)
  • Coordination of all marketing and technical requirements for the Conference (advance and onsite delivery)
  • Coordination and management of the Music NL volunteer requirements for the Conference liaise with the Music NL Volunteer Coordinator
  • Coordination of conference survey (executed on-site)
  • Execution of online post-event surveys (Survey Monkey) with members attending conference activities/ sessions/ meetings following the event
  • Compile all surveys and report findings or recommendations
  • Meet with all Export Showcasing musicians after the Conference to assess the experience and to document any bookings realized from the program
  • Prepare final report outlining outcomes, successes and recommendations for future programs
  • Market research to assist in recruitment of quality delegates (speakers/ panelists) to Music NL
  •  Financial and budget management

Qualifications:

  • Strong organizational skills especially as it relates to conference coordination
  • Experience in event logistics
  • Experience working with volunteers
  • Scheduling and logistics experience
  • Good writing skills ie presenters bios, marketing materials, members survey
  • Ability to work with the AV company for conference and showcase rooms set up
  • Trouble shooting and quick effective decision making
