2018 MUSICNL AWARDS: MEMBERS SUBMISSION GUIDE

PROCESS

MusicNL is pleased to be working with Marcato for our 4th year for the submission and voting process. We will also be introducing a juried and MusicNL member vote. Final nominations will be 50% jury vote and 50% member vote.

Payment for album and showcase submissions will be done through Marcato/PayPal. Prices are as follows:

  • Awards Submission – $25
  • Showcase Or Export Ready Submission – $25
  • Both Album and Showcase Submission – $40
  • Industry Awards Submission – FREE
EXPORT SHOWCASES:

In 2018 MusicNL will again be presenting a number of showcases to export buyers for export ready artists. Please see the Eligibility Section for more information.

Eligibility

During MusicNL Week 2018 in Twillingate, MusicNL will present yearly awards in approximately 30 categories. These awards are broken down into 3 main categories: Genre Based Awards, General Awards, and Industry Awards. There will also be showcase performances from artists covering all regions of Newfoundland and Labrador. Finally, MusicNL will be conducting the second year of its Export Ready Program, and will be bringing in a number of music buyers who will be shopping for new and upcoming talent to book for their music festivals, venues, and labels.

MusicNL Awards Eligibility Requirements:

This year, the submission period for MusicNL Awards applications is from May 1, 2017 – July 30 2018.  To be eligible, albums and singles must have been released in this period. Submissions will be accepted through Marcato. Here is a link to the form to start out the application process.

Submission Adjudication and Membership Voting

Once all submissions are received, MusicNL staff examine all applications to ensure they qualify for the categories for which they have been submitted. MusicNL then has a panel of jurors evaluate submissions based on a scoring rubric. Jurors are selected from a wide variety of sources, and are selected based on their expertise in the music industry.  

Once the jurying process has selected a minimum of two (2) to a maximum of six (6) nominees for each category, all MusicNL members in GOOD STANDING can vote for their choice in each category. Student and Individual memberships each come with one vote per award, Non-Profit, Business, and Venue memberships get 3 votes per award, and Group memberships get 4 votes per award. Voting for the Fans’ Choice Awards Entertainer of the Year is open to a public vote, in concert with the Fan’s Choice Award presenting sponsor. Awards are presented during MusicNL Week at either a Showcase Stage, the Industry Awards Brunch, or the MusicNL Award Show.

Honorary Award Categories

The MusicNL Board of Directors annually determines recipients in as many as 3 honorary award categories including Lifetime Achievement Award, Industry Builder Award and Unsung Hero Award.

To submit for MusicNL Awards, the following conditions must be met:  

Must be a Member(s) – IN GOOD STANDING – of MusicNL. GOOD STANDING requires that the artist or group is currently fully paid up in any membership dues. If an artist/group’s membership should expire between the beginning of the application process and the booking of a showcase performance, the artist/group will have 7 business days to renew their membership before they are removed from the showcase process.

Must be a native of Newfoundland and Labrador or a current resident of Newfoundland & Labrador. If submitting in a duo or larger group, at least 50% of the members of the act must meet the above residency claim.

The Artist or Group must have released a FULL-LENGTH RECORDING between May 1, 2017 – July 30 2018. For releases in Alternative, Celtic/Traditional, Classical, Country, Pop, Rock, Instrumental, Folk or Inspirational, the recording must contain a minimum of six (6) tracks or a minimum length of thirty (30) minutes. For releases in the Rap/Hip-Hop, Electronic or Jazz/Blues category, the recording must contain a minimum of three (3) tracks or a minimum length of fifteen (15) minutes.

Half (50%) of the tracks must be original (previously unreleased) material. An exception to this are Compilation Albums, which may compete in the Album of the Year category only.

The artist or group must fulfill all legal obligations on the album. This includes, but is not limited to: payment of mechanical rights, songwriting credits, etc

Be able to provide proof of the date of release of the recording. This is to be provided to MusicNL by the artist/group through a manufacturer’s invoice, retail verification, a distributor or record company.

Albums and/or Singles that were nominated for an award in a specific category cannot be resubmitted for that award the following year. This rule only applies to recordings that have been released in between May 1st and July 31st of each year.

 

AWARD CATEGORIES AND DESCRIPTIONS

 GENRE SPECIFIC CATEGORIES

These awards are designed to recognize a recording by an artist or group in the genre they submitted in. A single award is presented in each category, except in the case of a tie in member voting.

Alternative Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Alternative” genre.

Instrumental Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Instrumental” genre. 75% of the tracks must be without lyrics..

Celtic/Traditional Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Celtic/Traditional” genre.

Jazz/Blues Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Jazz/Blues” genre.

Classical Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Classical” genre.

Country Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Country” genre.

Folk Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Folk” genre.

Inspirational Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Inspirational” genre. Eligible music includes any and all styles that demonstrate inspirational faith based beliefs, including (but not limited to): traditional, contemporary, country, alternative, pop/rock, and urban/dance.

Rock Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Rock” genre.

Pop Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Pop” genre.

Rap/Hip-Hop Artist of the Year – This award recognizes an individual/group performing music in any of the following genres: “Rap”, “Hip-Hop”.

Electronic Artist/Group of the Year – This award recognizes a recording by an artist or group who has selected their eligible release album for the “Electronic” genre.

PLEASE NOTE:

MusicNL supports all genres equally and encourages members from other non-listed genres to contact info@musicnl.ca to discuss submitting a new genre. In doing so, members can create a new category for their genre pending having enough eligible releases in said category. If only one artist/group is nominated in a particular category then that category will be removed from current year’s ballot no matter what the genre. That artist/group will remain eligible for the same category in the following year. The group/artist can only be carried over one year. The category is then dropped from the ballot.

 

GENERAL CATEGORIES

Eligible releases from all genres qualify for additional applicable general categories.  A single award is presented in each category, except in the case of a tie in member voting.

Male Artist of the Year – Solo male (and male identifying) artists qualify for this award. The artist must be a MusicNL member and have released a commercial recording within the dates of the eligibility period. All genres accepted.

Female Artist of the Year – Solo female (and female identifying) artists qualify for this award. The artist must be a MusicNL member and have released a commercial recording within the dates of the eligibility period. All genres accepted.

Group of the Year – Duos and groups qualify for this award. The duo or group must be a MusicNL member and have released a commercial recording within the dates of the eligibility period. All genres accepted.

Rising Star of the Year – This award recognizes an artist or group who has released their first commercial recording within the dates of the eligibility period. The artist or group must be a MusicNL member. All genres accepted.

Album of the Year – Recording must be released within the eligibility period to qualify. Both solo artists and groups qualify. All genres accepted.

Fan’s Choice Entertainer of the Year – This award recognizes the accomplishments of an artist or group who has performed within the dates of the eligibility period. Artist or group must be a MusicNL and is not required to have an eligible release. Voting for this award is normally done online in conjunction with a sponsor.

Ron Hynes SOCAN Songwriter of the Year – The three songs selected must be recorded and commercially available within the eligibility period. Recording can be released in any type of format. In collaborations, at least the indented nominee songwriter must be from Newfoundland and Labrador and fit the eligibility criteria. However the artist or groups performing the songs do not need to be from Newfoundland and Labrador. All songwriter(s) on selected song will be honored. It is also required that songs must be registered with SOCAN.

Side Musician of the Year – This award recognizes the accomplishments of a recording/performing musician within the dates of the eligibility period. This award is given to an individual and does not require a MusicNL membership.

Music Video of the Year – This award recognizes the accomplishments of a music video released within the eligibility period. This award is given to an individual or business and does not require a MusicNL membership. The song featured in the video must be an artist or group who is a MusicNL member. The MusicNL member must submit the video on behalf of the director/production company.

 

INDUSTRY CATEGORIES

Industry Award nominees are submitted through Marcato, and then selected by a committee comprised of Newfoundland and Labrador music industry professionals. A single award is presented in each category. If a MusicNL member is interested in suggesting a nominee for these awards please contact info@musicnl.ca.

Media Person of the Year – This award recognizes the outstanding support from an individual from the media in the promotion of Newfoundland and Labrador artists. The award goes to the individual. The individual is not required to be a MusicNL member.

Outstanding Company of the Year – This award recognizes the outstanding contribution of a company to the development of the music industry in Newfoundland and Labrador. The company is not required to be a MusicNL member.

Event of the Year – This award recognizes a club, soft seat theatre, arena, or any venue that features live Newfoundland and Labrador performances. The venue must be located in Newfoundland and Labrador.  The event organizing committee is not required to be a MusicNL member.

Venue of the Year – This award recognizes a club, soft seat theatre, arena, or any venue that features live Newfoundland and Labrador performances. The venue must be located in Newfoundland and Labrador.  The company is not required to be a MusicNL member.

Industry Professional of the Year – This award recognizes the outstanding contribution of a music industry professional from any field to the development of the music industry in Newfoundland and Labrador. The award goes to an individual. The individual is not required to be a MusicNL member.

Volunteer of the Year – This award recognizes an individual who has made a difference in the Newfoundland and Labrador music industry through volunteering. The award goes to the individual. Individual does not have to be a MusicNL member.

Music Educator of the Year – This award recognizes excellence in music education in Newfoundland and Labrador. The award goes to an individual. The individual is not required to be a MusicNL member.

Graphic Artist of the Year – This award recognizes the contribution of a Graphic Artist or company to the development of artists or groups in the industry in Newfoundland and Labrador. The individual or company is not required to be a MusicNL member.

 

MusicNL Export Buyers Program Eligibility Requirements

Artists applying for this program must be ready and able to travel to any of the bookings that are made during the conference. To showcase Newfoundland and Labrador’s best musical talent, MusicNL will be hosting providing a limited number of opportunities for export ready artists to perform for the Export Buyers.

This year, the submission period for export buyers program applications is from June 1 – June 30th 2018.  Submissions will be accepted through Marcato. Here is a link to the form to start out the application process.

Submission Adjudication

Once all submissions are received, MusicNL has a panel of jurors evaluate submissions based on a scoring rubric of our design. Jurors are selected from a wide variety of sources, and are selected based on their expertise in the music industry.

To submit to the Export Buyers Program an artist must meet the following conditions:

Must be a Member(s) – IN GOOD STANDING – of MusicNL. GOOD STANDING requires that the artist or group is currently fully paid up in any membership dues. If an artist/group’s membership should expire between the beginning of the application process and the booking of a showcase performance, the artist/group will have 7 business days to renew their membership before they are removed from the showcase process.

Must be a native of Newfoundland and Labrador or a current resident of Newfoundland & Labrador. If submitting in a duo or larger group, at least 50% of the members of the act must meet the above residency claim.

Must have at least one QUALIFYING RELEASE in Canada in the past 24 months or an upcoming QUALIFYING RELEASE in the next 12 months. A QUALIFYING RELEASE is a recording/album release that is at least 6 songs or 30 minutes long and has been/will be released commercially.

At least one QUALIFYING RELEASE that is distributed internationally. Any album released on CDBaby or a similar distributor qualifies as an international release.   

Must have completed at least one Canadian tour in the past 24 months, or has an upcoming international tour or international showcase bookings

Must have a reasonable amount of public and industry recognition. This can have been gained via radio play, video play, web hits, web streams, music press, blogs, awards, showcases, etc.

MusicNL Showcase Performance Eligibility Requirements

Submission Adjudication

Once all submissions are received, MusicNL has a panel of jurors evaluate submissions based on a scoring rubric of our design. Jurors are selected from a wide variety of sources, and are selected based on their expertise in the music industry.  

To submit as a showcasing artist, the following conditions must be met:  

Must be a Member(s) – IN GOOD STANDING – of MusicNL. GOOD STANDING requires that the artist or group is currently fully paid up in any membership dues. If an artist/group’s membership should expire between the beginning of the application process and the booking of a showcase performance, the artist/group will have 7 business days to renew their membership before they are removed from the showcase process.

Must be a native of Newfoundland and Labrador or a current resident of Newfoundland & Labrador. If submitting in a duo or larger group, at least 50% of the members of the act must meet the above residency claim.

 

NOMINATION PROCESS

Submissions are sent to committees of Atlantic Canadian and international/national jurors with a demonstrated expertise and knowledge of the overall industry or individual categories. Each juror will be asked to rank selections based on the following:

ARTISTIC MERIT/PRESENTATION – 20%
  • Does the artist portray professionalism and authenticity in regards to their overall submission and their past live performances? With the complete submission package in mind, and a focus on music in particular, does this submission meet your standards of artistic excellence?
PRODUCTION & ENGINEERING – 20%
  • Based on the overall quality of the sound recording and production values – recording, mixing, performance, arranging, use of instruments and other creative elements.
MUSIC & LYRICS (IF APPLICABLE) – 20%
  • Is there a coherence and originality to the music and lyrics (if applicable) of the submission?
ORIGINALITY – 20%
  • How is this artist/group unique? Do they set themselves apart? What do they offer to differentiate themselves from other musicians?
ACCOMPLISHMENTS & ACKNOWLEDGMENTS / MARKETING & PROMOTION – 10%
  • Does the artist group have a strong online presence i.e. website/social media? In reviewing the overall submission does the submitting group demonstrate a level of professional accomplishments? Does the artist/group have a “buzz” – what press have they generated?
INSTINCT – 10%
  • Gauge your instinct or intuition as an immediate feeling or reaction to the submission as a whole. Does the submission make you want to learn more about this artist?

The results are tabulated and the top four (4) to six (6) selections in each category become the nominees. While the minimum requirement for each category is two (2), MusicNL’s intent is to present at least three (3) nominations in each category. In the event of a tie, top ranking submissions will be sent back to the jury to re-adjudicate with the ultimate goal of choosing no more than six (6) nominees in total.

Marcato is able to accept full album downloads thus eliminating the need to send physical product for jurors. MusicNL would only accept CDs to be shipped to the MusicNL office for archival and promotional purposes.

 

JURY VOTING PROCESS:

  • An artist/group may only be nominated in ONE (1) GENRE SPECIFIC category
  • An artist/group may be nominated in ANY number of qualifying GENERAL categories
  • Jurors may omit any category they do not wish to nominate in
FINAL NOMINATION TALLY:

The artist(s)/group(s) with the highest number of nominations from the jury votes are selected for the final ballot in each category

Each category will have no less than two nominees and no more than six nominees

If only one artist/group is nominated in a particular category then that category will be removed from current year’s ballot and that artist/group will remain eligible for the same category in the following year. The group/artist can only be carried over one year. The category is then dropped from the ballot

In order to have an eligible vote with regards to the current years’ MusicNL Awards, your membership will have to be purchased a minimum of 60 days in advance of the released nominations. Membership purchased after nomination announcement will not be allowed to vote.

MUSICNL AWARDS VOTING PROCEDURES

A jury of music industry professionals selected by the MusicNL Board of Directors reviews the submitted albums and creates the listing of official nominations. It is then the member’s responsibility to log onto their account and select their choices for each award category nomination.

VOTING GUIDELINES:

Only one physical award is presented to the winner in any one category. Additional award trophies can be purchased from the supplier at the member’s expense

There is no fee to nominate or to be included on the ballot

Only MusicNL members in good standing may vote

CONFIDENTIALITY AND ETHICS

MusicNL has formed an Awards Committee to oversee the entire process. Any perceived irregularity will be challenged by the committee and could result in a removal from the ballot. Withdrawal of the ballot is at the sole discretion of the board of directors.

When do albums/recordings need to have been released to qualify for General or Genre based awards?

The eligibility period is from May 1 2017 – July 31 2018.

For showcase performances, do I need to have released an album or recording in the last year?

No. However, MusicNL will prioritize showcase artists who are promoting a new recording.

Can I get my application fee back if I am not successful?

No. Application fees are non refundable.

Am I guaranteed to get a showcase performance  or export buyers program slot?

No. MusicNL does everything it can to place as many artists as possible in the available slots, but we cannot place everyone.

Do I/We get paid for these performance showcases or export program showcases?

Yes. MusicNL pays $100 CAD per performer in an act, up to a maximum of $400 CAD per group.

How long are the performance sets?

The sets are either 20 minutes or 30 minutes in length, with ten minute change-overs.
