MusicNL Week 2025 Hiring – Job Creation Partnerships

Pending funding approval, MusicNL is seeking to hire the following three positions for its annual music conference, MusicNL Week.  Taking place in St John’s from November 12 to 16, the event brings together more than 300 delegates, produces more than 70 performances and gathers hundreds of audience members to enjoy music throughout the week.

All applicants must be eligible for Job Creation Partnership (see below), and positions start in early September.

Conference Coordinator – MusicNL Week 2025

Based in St. John’s, the Conference Coordinator will work under the supervision of the Executive Director and the Marketing & Communications Coordinator. The Conference Coordinator will handle tasks related to the conference and work closely with community partners and stakeholders to enhance MusicNL’s  presence. Experience in event planning, external communications, and program delivery are essential to this position.

Job description

  • Work with Sheraton Hotel on all details of contract
  • Lead and execute the trade show (25 booths)
  • Support and panels, workshops and seminars and panels with MusicNL staff
  • Work closely with MusicNL staff on all aspects of the conference (10-12 events in 5 days)
  • Coordinate communications and marketing
  • Align event expenditure with event budget
  • Manage floor plans with internal stakeholders based on clients’ requirements
  • Support conference registration, accreditation
  • Coordinate needed volunteers
  • Develop recommendations for project plans including risk management plans
  • Liaise for invoicing and payment matters to ensure timely settlement
  • Coordinate speakers, panelists and participants
  • Present event proposals to management and clients for approval.
  • Recommend measures to improve event management and outcomes
  • Schedule and train volunteers as required

Export Liaison – MusicNL Week 2025

Based in St. John’s, the Export Liaison will work under the supervision of the Executive Director and the Export Producer. The Export Liaison will oversee the details of MusicNL’s export program delivery. Experience in event work, conference travel, knowledge of marketing/digital tools such as Zoom, Basecamp, MailChimp, Google Drive and being able to troubleshoot and provide technical assistance to MusicNL members, board, and staff where necessary.

  • Work closely with export producer
  • Draft schedule for export meetings (one on ones)
  • Coordinate meetings  between artists and buyers
  • Work with travel agents on all travel and accommodation for 30/40 export buyers
  • Manage export showcases in partnership with export producer
  • Help prepare artists for export program
  • Work with MusicNL staff on export applications
  • Manager intra provincial travel for all buyers
  • Organize an orientation for export buyers
  • Liaise with MusicNL staff on all items that must be shared
  • Work with travel agents on all travel and accommodation for 30/40 export buyers
  • Other duties as required

Volunteer Coordinator – MusicNL Week 2025

Based in St. John’s, the Volunteer Coordinator will work under the supervision of the Executive Director and the Export Producer. The Volunteer Coordinator is responsible for supporting the personnel needs for MusicNL Week,  including areas of recruitment, training, scheduling and automated communication with volunteers.  Additionally, the Volunteer Coordinator will support staff in general event management.

Job description

  • Recruiting volunteers and maintaining a volunteer database
  • Working with MNL team to establish volunteer roles
  • Coordinating volunteer training and managing volunteer schedule based on staff needs
  • Coordinating with team staff to ensure smooth volunteer function Tracking total volunteer hours
  • Preparing wrap-up evaluation
  • Volunteer appreciation after MNLW event

This is a JCP only position – What Is JCP?
The Job Creation Partnerships (JCP) program is designed to support community-based, not-for-profit projects. These projects will provide EI-eligible participants with opportunities to gain work experience to improve their employment prospects. Project activities should benefit both the participant and the community. The primary focus of the JCP program is helping insured participants who need work experience to increase their chances of successfully finding ongoing employment.

Eligibility Criteria for Individuals

  • Be a resident of the province;
  • Canadian citizens or permanent residents legally entitled to work in Canada;
  • Meet the definition of EI-eligible;
  • Be approved by the department under Section 25 of the Employment Insurance Act as insured participants who are active EI claimants; and
  • Have an employment plan that identifies that the JCP work experience being considered supports a reasonable occupational goal.

We Are Hiring: Marketing and Communications Manager 

Position Overview

The Marketing and Communications Manager will lead and oversee MusicNL’s efforts in promoting, marketing and communicating the organization’s mission, events, resources, programs and initiatives.

This position is responsible for ensuring effective, results-oriented promotion, marketing, communications and community outreach for MusicNL’s programs, resources, events and initiatives.

The role requires excellent organizational skills, strong writing abilities and agility with digital tools, adept communication, digital copywriting and project management abilities to elevate MusicNL’s presence and impact.

Key Responsibilities:

  1. Strategic Planning and Execution:
    ○ Develop and implement comprehensive marketing and communication strategies
    to promote MusicNL’s programs, events, initiatives and brand.
    ○ Create and manage annual marketing plans, ensuring alignment with
    organizational goals.
  2. Content Creation and Management:
    ○ Oversee and create compelling content for various platforms, including
    website, social media, newsletters, and press releases.
    ○ Ensure all content aligns with MusicNL’s brand voice and messaging.
    ○ Proofread and edit communications collateral as needed.
  3. Media Relations:
    ○ Build and maintain relationships with media outlets, journalists, and government
    communications managers.
    ○ Prepare press materials and coordinate media coverage for events and
    announcements.
  4. Event Promotion:
    ○ Develop and execute marketing campaigns for MusicNL events, including
    programs, workshops, and conferences.
    ○ Collaborate with other staff to ensure successful promotion and engagement.
  5. Digital Marketing:
    ○ Manage and optimize MusicNL’s digital presence, including website, social media
    channels, and email marketing, including writing relevant and engaging copy.
    ○ Utilize analytics to track performance and adjust strategies as needed.
  6. Membership & Community Engagement:
    ○ Lead membership relations, answer general inquiries.
    ○ Foster relationships with local artists, industry professionals, and community
    stakeholders.
    ○ Organize and participate in community outreach activities to promote MusicNL’s
    mission and initiatives.
  7. Brand Management:
    ○ Maintain and enhance MusicNL’s brand identity and ensure consistency across
    all communications and marketing materials.
    ○ Monitor industry trends and adapt strategies to stay relevant and effective.
  8. Special Projects:
    ○ Given the evolving nature of MusicNL’s project-based planning cycle, additional
    project support may be required from time to time.

POSITION REQUIREMENTS

The ideal candidate is:

  • An engaged creative and an exceptional communicator (written and spoken).

Qualifications

  • Post-secondary education in marketing, communications, journalism, or a related field, or a comparable demonstrable professional experience.
  • A minimum of three years of professional experience, with at least one year in a
    marketing and communications capacity
  • Previous professional experience in the arts sector and lived knowledge of the music industry are strong assets

Skills

  • Demonstrable experience managing human and financial resources.
  • Strong project management skills.
  • Experience with Google Analytics, SEO, digital layout tools (ie Canva) and social media platforms are essential.
  • Proficiency with email marketing (ie Mailchimp), email automation, and social media management tools (ie Hootsuite) is key to this position
  • Experience with HTML basics and WordPress are strong assets
  • Proficiency and autonomy with databases
  • Experience working in/ability to integrate a Google office and Mac environment.

COMPENSATION

The salary range for this position is $41,000 to $46,000 annually, commensurate with experience.

MusicNL offers a flexible work environment, with options for hybrid work days and flex time off within the footprint of the work week. However, this is not a remote work position; the successful candidate will work at our office in downtown St John’s on a weekly basis.
