Conference Manager — MusicNL Week 2026

Position Summary
MusicNL is seeking a detail-oriented, collaborative, and music-savvy Conference Manager to support the planning and delivery of MusicNL Week. This role is critical to ensuring a seamless experience for artists, industry delegates, conference speakers, sponsors, and attendees. The successful candidate will work closely with the Executive Director and MusicNL staff to coordinate logistics across all facets of the event — from conference sessions and showcase scheduling to artist hospitality, delegate relations, and the Awards Gala. The position will be responsible for delivering the conference and export program, with the support of two full-time seasonal staff members.

Key Responsibilities
Conference & Event Logistics
- Oversee all operational aspects of MusicNL Week, including the four-day industry conference, showcases, songwriter’s circle, and Awards Gala, with the help of two dedicated staff
- Oversee venue logistics across multiple downtown St. John’s locations (e.g., Sheraton Hotel Newfoundland, The Black Sheep, The Ship, etc.)
- Build and maintain detailed run-of-show documents, scheduling grids, and production timelines
- Liaise with venue managers, AV technicians, catering, security, and other vendors
- Oversee delegate and attendee registration, accreditation, and wristband distribution
- Support volunteer recruitment, onboarding, and scheduling for event days, with the Programs Assistant overseeing volunteer coordination
Conference Programming Support
- Oversee conference logistics in collaboration with the Conference & Sponsorship Assistant
Artist & Delegate Relations
- Working with the Export Coordinator, oversee travel, accommodations, and schedules for export delegates and invited industry guests from Canada, the UK, and Europe
- Serve as a primary point of contact for showcase artists, managing hospitality, stage schedules, sound check coordination, and rider requirements
- Respond professionally and efficiently to last-minute artist and delegate needs on-site
Sponsorship & Partner Coordination
- Work with the Conference & Sponsorship Assistant to ensure recognition commitments are fulfilled across signage, programs, and digital assets
Administration & Reporting
- Track event budget lines and process vendor invoices in collaboration with the Executive Director
- Maintain internal project management tools, event timelines, and communication logs
- Prepare post-event reports, including attendance data, delegate feedback, and lessons learned
- Support year-round conference planning activities as required
Qualifications
Required
- Minimum five years of experience in event coordination, conference management, or a related field
- Demonstrated knowledge of and passion for the music industry, particularly in Newfoundland and Labrador or Atlantic Canada
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Excellent written and verbal communication skills
- Experience managing relationships with diverse stakeholders including artists, industry professionals, and sponsors
- Proficiency with project management and event tools (e.g., Basecamp, Google Workspace)
- Ability to work evenings, weekends, and extended hours during MusicNL Week (October 1–4, 2026)
- Comfort working in a small non-profit team environment with limited resources and high expectations
Preferred
- Experience with music conferences, festivals, or showcasing events (e.g., ECMA, Folk Alliance, CMW, NXNE, or similar)
- Familiarity with live production workflows and AV coordination
- Experience coordinating artist hospitality and industry delegate programs
- Knowledge of the NL music community, local venues, and provincial music funding landscape
- Bilingual (English/French) is an asset
The following three positions are offered through the Job Creation Partnerships (JCP) program, which supports community-based, not-for-profit projects and provides EI-eligible participants with work experience to improve their employment prospects.

Overview
Based in St. John’s, the Conference & Sponsorship Assistant is responsible for supporting the planning and delivery of MusicNL Week’s conference programming and sponsor relationships. Working closely with the MusicNL team, this position oversees conference logistics, coordinates with community partners and stakeholders, and ensures sponsor commitments are fulfilled throughout the event. Experience in event planning, external communications, and program delivery are essential.
Reports To: Conference Manager and Executive Director
Responsibilities
Conference Coordination
- Work with the Sheraton Hotel on all details of the venue contract and event logistics
- Lead and execute the trade show, managing approximately 25 booths
- Manage floor plans with internal stakeholders based on client and partner requirements
- Support panels, workshops, and seminars with MusicNL staff
- Coordinate speakers, panelists, and participants
- Support conference registration and accreditation
- Work closely with MusicNL staff across all aspects of the conference (10–12 events over 5 days)
- Align event expenditures with the approved event budget and liaise on invoicing and payment matters
- Develop recommendations for project and risk management plans
- Present event proposals to management for approval
- Recommend measures to improve event management and outcomes
Sponsorship
- Serve as the primary point of contact for approximately 15 MusicNL Week sponsors
- Support the Executive Director in soliciting new sponsorships as needed
- Coordinate fulfillment of all sponsor agreements, including signage, activations, and hospitality
- Communicate all sponsorship fulfillment and naming requirements to MusicNL staff and oversee their implementation throughout MusicNL Week
- Track sponsor commitments and payments, and prepare a post-event sponsorship fulfillment report
- Coordinate sponsor activations and execute the red carpet at the MusicNL Week Gala
Volunteer Coordination
- Coordinate and train volunteers as required to support specific area needs
General
- Coordinate communications and marketing related to conference programming
- Liaise with MusicNL staff to ensure timely information sharing across teams

Export Liaison JCP (Pending Program Approval)
Reports To: Conference Manager
Based in St. John’s, the Export Liaison is responsible for supporting the delivery of MusicNL’s export program during MusicNL Week. Working closely with the Conference Manager and Executive Director, this position coordinates the logistics of buyer travel, artist-buyer meetings, and export showcases, ensuring a seamless experience for both artists and international buyers.
Export Program Coordination
- Work closely with the Conference Manager to support all aspects of export program delivery
- Assist with export applications and help prepare artists for participation in the export program, including orientation and briefing materials
- Draft and manage the schedule for one-on-one meetings between artists and buyers
- Coordinate meetings between artists and export buyers throughout MusicNL Week
Delegate Logistics
- Work with travel agents to coordinate all travel and accommodation for approximately 30–40 export delegates
- Manage intraprovincial travel logistics for all buyers during MusicNL Week
- Organize and deliver an orientation for export buyers upon arrival
- Support buyer hospitality and relationship management throughout the week
Export Showcases
- Manage export showcases in partnership with the Conference Manager
- Coordinate with MusicNL staff to ensure smooth showcase operations
General
- Liaise with MusicNL staff to ensure timely sharing of relevant information across teams
- Prepare a post-event wrap-up report on export program delivery
- Prepare receipts and invoices for funding requirements

Programs Assistant JCP (Pending Program Approval)
Reports To: Programs Manager
Based in St. John’s, the MusicNL Week Programs Assistant supports two interconnected pillars of MusicNL Week: the awards & showcase program and volunteer operations. Working closely with the MusicNL team and reporting to the Programs Manager, this position ensures the awards process runs smoothly from submissions through to the ceremony, and that volunteer needs across all MusicNL Week events are met through effective recruitment, training, and scheduling.
Awards Support
- Support the Programs Manager in coordinating the awards and showcase submission process
- Assist with tracking entries, maintaining accurate records, and managing related correspondence
- Help coordinate jury and adjudication logistics as directed by the Programs Manager
- Support nominee, showcase, and juror communications leading up to MusicNL Week
Volunteer Coordination
- Recruit volunteers and maintain a volunteer database
- Oversee the registration process for all MusicNL Week attendees
- Work with the MusicNL team to establish and define volunteer roles across all MusicNL Week events, including awards
- Coordinate volunteer training and manage scheduling based on staff needs
- Serve as a day-of point of contact for volunteers, ensuring smooth function across events
- Track total volunteer hours throughout MusicNL Week
General
- Support staff in broader event management tasks as needed
- Prepare a post-event wrap-up evaluation covering both awards and volunteer operations
- Coordinate volunteer and participant appreciation following MusicNL Week
Working Conditions
All JCP positions involve significant on-site coordination during MusicNL Week and will require evening and weekend availability during the event period. Outside of MusicNL Week, some flexibility in working arrangements may be available. The MusicNL office is located at 99 Queens Road, St. John’s, NL.
